Milestones – Milestone Groups (Step 2)

Why:

Milestone Groups effectively form templates which Customer operations personnel can use to quickly associate multiple Milestone instances to Orders and Matters.

 

Before you begin

This is Step 2 in the Milestone creation process. Milestone Types (Step 1)  need to be created before Milestone Groups can be defined.
Step 3 - Milestone Tags follows this step.

Procedure

This procedure describes how to do the following:

  • Add a new Milestone Group;
  • Edit an existing Milestone Group;
  • Add milestones to Milestone Groups.

 

Milestone Groups:

1. On the LPG menu, select Reference > Milestones.

The Milestone Management screen appears with the Milestone Types tab selected.

2. Click the Milestone Groups tab.

The Milestone Groups are displayed.

A – Existing Milestone Groups (if any) are arranged into 2 folders - Project View (which equates to Matter) and Order.

B – Any Milestone types that have been created (see topic Milestones - Milestone Types) are displayed on the right side of the screen in the Available Milestones section. These are also arranged into Project View (which equates to Matter) and Order folders.

  • Milestones from the Order folder can only be added to Order type Milestone Groups. Milestones from the Project View folder can only be added to Project View type Milestone Groups. Order type Milestones and Groups can only be applied to Orders. Project View type Milestones and Groups can only be applied to Matters.


  • Where possible, the Milestones created should be generic so they can be reused in several different Milestone Groups. Add Milestones to Groups to reflect the requirements for specific types of Orders (or Matters). The Milestone Group is effectively a template of Milestones that can then be applied to any Order (or Matter) that requires that set of Milestones.

 

 

Add a New Milestone Group:

3. Click the Add New Milestone Group button.

The Add New Milestone Group panel drops down.

4. Fill in the fields to define the new Milestone Group.

  • NOTE: The Context will determine whether it is used to group Order milestones or Matter Milestones.

5. Click the Save button. 

The new Milestone Group is added to the folder structure. In this example it is an Order type Milestone Group so it is added to the Order folder.

Edit an existing Milestone Group:

1. Click the Milestone Group name.

The Milestone Group becomes editable.

2. Edit the Display Name as required, click the Enable checkbox to enable/disable the group then click the Save button.

  • NOTE: Disabling the Milestone Group means it will not be available to choose from when creating Orders (or Matters if it is of type Matter).

  

Add a Milestone to a Milestone Group:

1. Click the plus icon next to the Milestone Group name.

The Unchained and Chained sub folders drop down.

Milestones added to the Unchained folder are things that need to be done sometime during this Order (or Matter) but are not dependent on other tasks or dates. Milestones added to the Chained folder are things that need to be done during this Order (or Matter) that are linked to other Milestones. These Milestones will be linked into a chain.  Chained milestones are only available if Extended Milestone functionality has been enabled.

2. To add the first Milestone to a Group, drag the Milestone from the Available Milestones list and drop it on either the Unchained or Chained Milestones can only be added to the Chained folder if Extended Milestone functionality has been enabled.

The Milestone is displayed within that folder. In this example, the milestone has been added to the Chained folder of group 3.

  

3. To add a Milestone so it is linked to another Milestone within a group, drag the Milestone from the Available Milestones list and drop it on the Milestone that needs to precede it in the Group.

The chained Milestone is added below the anchor Milestone in the Chained folder of the group.

  • A Milestone cannot be added to both the Chained and Unchained folders within the same Milestone Group. For example (as shown below), the Milestone added to the Chained folder of group3 cannot be added to the Unchained folder of group 3 but it could be added to the Unchained folder of another group.

 

  • NOTE: To remove a Milestone from a Group, drag the Milestone from the group and drop it back to the folder it came from (Order or Project View) on the Available Milestones.

 

  • NOTE: Chained Milestones must be added to the Group in the correct order. This is dependent on how the Milestone needs to be applied in the business flow.  The strategy for each Milestone is displayed (highlighted orange in the graphic below). Use this to help determine how it will be applied in the Milestone Groups.

 


4. To save the Milestones within their Groups, click the Save button (at the bottom of the Available Milestones section).

  • It is good practice to save often if you are building a complex structure of Milestone Groups. Clicking the Reset button will revert the Milestone Groups back to how they were the last time the structure was saved.

 

Tips & Troubleshooting

  • The Filter Option section on the top right side of the Manage Milestones screen allows you to filter the Milestone Groups. You can enter part of the Group Name and click the Search button. In the example shown here, only groups with the word “Shutdown” in the Group Name will be displayed.
