Edit User-Defined Attributes

Why:

        

User-defined Attributes may need to be edited or removed from the objects to which they are applied (Orders, Service requests, Matters or Order Items). Values may need to be added or removed from a user-defined list.

Before you begin

  • Only Users with the System Administrator role can add or edit attributes.

Procedure

This procedure describes how to do the following tasks:

  • Search for/filter Attributes;
  • Change the order in which Attributes are displayed on new Orders (or other objects to which they apply);
  • Activate/deactivate an Attribute so it is displayed/hidden on new Orders (or other objects to which they apply);
  • Edit an Attribute;
  • Activate/deactivate values from a user-define list (Attribute of type List) so the value is displayed/hidden on the list;
  • Edit a value in a user-defined list (Attribute of type List).

 

To search for/filter Attributes:

1. Select References > Attributes from the LPG menu.

The Attributes screen appears. By default, all Attributes which apply to Orders are displayed.

2. To filter the list of Attributes, enter the required search criteria.

A - To search for Attributes that apply to Order Items rather than Orders, select “Order Item” from the Applies To drop-down list.

B - To search for all Attributes that apply to Orders and with a name containing “FWG”, type FWG in the Attribute field.

3. Click the Search

The list of Attributes is filtered so only those matching the search criteria are displayed.

Change the Order in which Attributes are displayed on new Orders

When new Attributes are added they appear at the bottom of the list. The Attributes appear on new Orders in the same order they are listed in the Attributes screen. To change the order in which they are displayed on new Orders, rearrange the Attributes on the Attributes screen.

A – Click the Up arrow to move an Attribute higher up the list.

B – Click the Down arrow to move an Attribute lower down on the list.

Activate/deactivate an Attribute so it is displayed/hidden on new Orders (or other objects to which they apply)

1. Click on the Active checkbox to either Activate or Deactivate the attribute
A green tick will be displayed for active attributes, while a red cross will be displayed for deactivated attributes

NOTE: Changes to attributes will only be effective for new Orders (or other objects to which they apply), existing Orders (or other objects) will not show these changes.

 

To edit Attributes:

1. Click on the Edit link of the attribute you wish to change.

2. Change the details that need to be updated.

Note: The attribute name, what it applies to, and the format cannot be changed.

3. Click on the Update button to save the changes you have made. Clicking on the Cancel button will exit the edit mode without any changes being saved.

 

Activate/deactivate values from a user-define list (Attribute of type List) so the value is displayed/hidden on the list

1. Click on Attribute Values of the list attribute you wish to edit

2. Click on the Active checkbox to either Activate or Deactivate the attribute

A green tick will be displayed for active attributes, while a red cross  will be displayed for deactivated attributes 

NOTE: Changes to the attribute list will only be effective for new Orders (or other objects to which they apply) existing Orders (or other objects) will not show these changes.



Edit a value in a user-defined list (Attribute of type List)

1. Click on Attribute Values of the list attribute you wish to edit.
Click on Edit.

2. Edit the Description or change from Active to Deactivated.

The Attribute Value cannot be edited.


3. Click Update to save the changes

 

 

Tips & Troubleshooting

  • IMPORTANT:  Changing the order of attributes may impact on My Work and Reporting.  A specified number of attributes of each type are available in each of these tools.

    For example, in the Reporting ‘Engagement’ topic, only the top two list, currency, text, number and date attributes are available.  If you change the attribute order, an attribute that was previously available in position 2 will now be replaced by the new attribute.



    In My Work, the first 6 attributes that are configured to show in the Banner will show in the My Work Results table as Filters. Changing the Banner attributes will also affect the Filters available in the My Work table. 




 

 

  • NOTE:  Changes to attributes will only apply to orders created after the attribute change was made.   Changes will NOT affect orders that were created prior to the change.
